Whether your event is live, virtual or hybrid, accurate delegate management is a key aspect of the process, to ensure your delegates’ experience of the event (and of your organisation) from the outset is positive and beneficial. Our friendly and dedicated team can assist with all elements of delegate management, such as:

Systems
We can provide bespoke registration systems that capture the data you need, in addition to processing payments, if required. We’re able to create different ticket options where relevant, including options to attend either in person or virtually.

We also have the capability to generate secure codes so that only invited guests can access the system and register for the event.
 
If clients prefer, we‘re able to work with existing systems such as Eventbrite.

Delegate Management

Delegate Communications
We can offer a complete communications service for your event, by co-ordinating all communications with your invited audience. From the initial ‘save the date’ correspondence, through to invitations, joining instructions and itineraries, and any specialist information required e.g. relating to pandemics/restrictions etc. – we can take care of all this for you.

We have the capability to offer options for delegates to select specific sessions from the programme; for virtual delegates this will include providing all the information they need to participate on the day, including links and any apps or software they may need to download in advance.

The marketing and communications expertise within our teams mean that we can help with your content, where required – to ensure all correspondence with your delegates is well-written, accurate and branded.

Delegate Support
Via dedicated event email addresses and support phone lines, we have the capability to manage all incoming enquiries on your behalf in the run up to your event.

Onsite delegate management

At the event itself, we provide a professional and seamless check-in process to ensure a good first impression for every delegate.

We work with both self-scan (QR code), print-on-demand badge printing systems, or traditional pre-printed badges – whichever is the client’s preference. We provide all hardware  (printers and iPads) as well as having inhouse dveeloped 

For virtual delegates, we will manage their participation on the day and support them with any queries or technical issues.

Post-event communications

Our team can support to you in all your post-event activities e.g. distributing information such as links to presentations and videos, and issuing and collating feedback surveys.

Analytics
For your virtual and hybrid events, we can set up analytics to capture information about who attends which sessions, how long for, what questions they asked etc., to provide you with important data and useful information to inform future events and activities.

Data Protection and GDPR
Lastly, but also most importantly, we do of course take data protection very seriously – which means that all our systems and processes are in line with GDPR regulations.
